Ten years ago, "porta potty" was the default. A planner could ship a few plastic units and nobody complained. That changed fast.

According to The Knot's 2025 Real Weddings Study, couples now spend tens of thousands of dollars on their weddings. Atlanta sits at or above that average. At those budgets, guests don't tolerate folding plastic restrooms. And your client absolutely doesn't tolerate one bad guest review traceable to your vendor pick.

1. Lock the Vendor Before You Lock the Caterer

Sounds backwards. Here's why it works.

Caterers in Atlanta are everywhere. Premium restroom trailer suppliers are not. During peak wedding season — April–June and September–November — the calendar fills 4–6 months out. 2. Vet the Vendor on These Six Questions

Before you sign with any restroom trailer rental company, get answers to these six questions in writing:

  1. What's included in the price? Delivery, setup, attendants, hand soap, paper, wastewater removal, and generator if there's no city power. Anything missing is a billable surprise on the day of.
  2. How fresh is your fleet? Trailers under five years old is the standard for "luxury." Older units rattle, smell, and break.
  3. What's your backup plan if a trailer breaks down? A real answer involves a backup unit on a partner lot or a same-day swap protocol.
  4. What's your insurance? $1M general liability is the minimum. Any reputable vendor will provide a Certificate of Insurance naming the venue and planner as additional insureds when you ask.
  5. Have you serviced this venue before? If yes, ask for the venue contact's name. If no, ask how they'll do a site walk-through.
  6. What's the cancellation and weather policy? Atlanta's spring storms are real. A vendor without a clear policy is one bad forecast away from a fight on event week.

3. Right-Size the Trailer

The standard rule: about one station per 50 guests for a four-hour event with bar service. Past four hours or with heavy bar service, plan for one per 40.

  • Cocktail hour spikes demand. If your floor plan funnels guests through a single restroom moment (after ceremony, before dinner), bump up one tier. The lines look bad in photos.
  • Atlanta summer events need more, not less. Heat drives water consumption. Guests use the restroom more often. Don't be the planner who under-counts because the venue is "casual."

4. Confirm Site Requirements Early

A luxury trailer is 24 to 40 feet long. It has weight, leveling, water, and power requirements. Get the site requirements from your vendor in writing within 48 hours of booking. Then walk the venue with them in mind.

  • Level ground within 6 inches of grade. Sloped ground means leveling jacks and time on event day.
  • Vehicle access for delivery. A one-ton truck with a long bed needs to back the trailer in.
  • Power source. Either a 50-amp city power connection within 100 feet, or vendor brings a generator. Never assume.
  • Water source. Most luxury trailers are self-contained. Some venues let you connect to a hose bib for unlimited water. Worth asking.
  • Discreet placement. Far enough from the ceremony and dinner that no one hears the trailer. Close enough that guests don't have a 200-foot walk in heels.

5. Understand the Pricing Levers

Short version: a 4-station trailer for a Saturday Atlanta wedding usually lands in a four-figure range. An 8-station for a 250-guest summer wedding sits higher. Line items that drive price up: delivery distance, generator rental, attendants, after-hours pickup, and weekend surcharges. None of these should be a surprise. Get them itemized in your quote.

6. The 30-Day-Out Confirmation Call

This is the single most underused tool we see planners skip. Thirty days before the event, get on a call with the trailer vendor. Confirm:

  • Final guest count (and whether you need to upsize the trailer)
  • Delivery time and contact at the venue
  • Pickup time
  • Any venue-specific access notes you've learned since booking
  • Backup plan if your main contact at the trailer company is out on event day

Document the call in writing. Email a recap. This thirty minutes saves hours of fire-fighting.

7. Day-Of: What to Hand to the Venue Coordinator

When the trailer arrives, the planner usually isn't on-site yet. Make sure the venue coordinator has:

  • Trailer vendor's day-of contact (cell phone)
  • Designated placement spot — ideally pre-walked and flagged
  • Power and water arrangement notes
  • A copy of the Certificate of Insurance

If the venue coordinator can answer the trailer vendor's questions without paging you, you've earned that morning back.
